40th Anniversary Message from University of Illinois System President Tim Killeen

We are pleased to share this congratulatory message from President Killeen on the occasion of CARLI's 40th Anniversary. Enjoy!

Volunteer for a CARLI Committee

CARLI is seeking volunteers to serve on advisory committees. The application period will close on April 28 at 5:00 p.m. Terms on these committees will begin July 1, 2021. Faculty and staff members from all CARLI member libraries, with all levels of experience, are encouraged to apply.

Service on CARLI committees affords individuals a unique opportunity to use their experience and expertise to help shape the future of the consortium and its services. In 2020, due to the migration to Alma & Primo VE and the need to reevaluate the committee calls in order to realign them with our current needs, we suspended the call for volunteers for one year. As a result, CARLI committees will have a greater number of openings for terms beginning July 1, 2021, and committee terms may be two or three years.

To volunteer, please complete the volunteer form by April 28. To be considered for appointment, you must fill out this online form even if you have previously submitted a form, or if you are a current committee member whose term is expiring and you wish to be considered again. CARLI seeks to include as many individuals and institutions as possible in committee service, so committee rosters are limited to one person from any institution. Committee members are not routinely reappointed.

Forms submitted by April 28 will be considered for initial FY 2022 appointments. The list of all volunteers will be retained until March 1, 2022 and will be used to fill vacancies if they occur.

Individuals accepting appointments to CARLI committees are expected to participate fully and actively in the work of the committee, including regular attendance at meetings and committee-sponsored events held throughout the calendar year. CARLI makes every effort to conduct the majority of committee business by web conferencing or via conference calls. However, committee service may require time and/or travel expenses for one or more in-person meetings each year.

The following CARLI committees are seeking members:

  • Collection Management Committee
  • Commercial Products Committee
  • Created Content Committee
  • Instruction Committee
  • Open Educational Resources Committee
  • Preservation Committee
  • Public Services Committee
  • Resource Sharing Committee
  • Technical Services Committee

The CARLI staff will make appointments to be approved by the Senior Director and the Executive Committee of the CARLI Board of Directors no later than June 15, 2021.

Please send questions about CARLI committees/task forces or the process for selecting volunteers to .

Call for Volunteers: Discovery Primo VE and E-Resources Management Task Forces

At the March 2021 CARLI Board of Directors meeting the Board approved the recommendation to form two new task forces that reflect the needs identified by CARLI committees as a result of the migration to Alma Primo VE. The initial term of the task forces will be one year; terms may be extended as needed to complete their work.

  • The Discovery Primo VE Task Force will collaborate with other CARLI committees and with the CARLI membership to identify and address the most urgent needs for optimizing the discoverability of materials in Primo VE.
  • The E-Resources Management Task Force will advise on the whole life cycle of electronic resources from acquisitions and cataloging, to selecting how/what to add to Alma/PVE, activating, proxy issues, OpenAthens authentication, gathering usage statistics to help libraries know what and how material is being used, to deactivation/deaccession.

Membership on these task forces will include representation from affected CARLI committees, along with volunteers solicited and appointed through the volunteer process. Current and past CARLI committee members are eligible to participate on these task forces.

To volunteer, please fill out the volunteer form by April 28 to be considered for the initial task force appointments. Individuals for task forces are expected to participate fully in the task force meetings and events. To view the committee and task force charges, and the current committee rosters, visit the Board and Committee pages

The CARLI staff will make appointments to be approved by the Senior Director and the Executive Committee of the CARLI Board of Directors no later than June 15, 2021. Task force members will officially begin work on July 1, 2021.

Library Services and Materials Drop-Off

We have received several suggestions through our Governing Directors' Check-In Sessions about how to share information regarding which CARLI libraries are open to receive returns of materials.

To ensure up-to-date and reliable information, we urge you to contact libraries individually for information about availability to accept returns; contact information can be found through the CARLI member list. To locate I-Share libraries nearest to your remote patrons, view the maps of I-Share locations and click on the individual pins to see the library’s URL, phone number, and physical address.

The Reaching Across Illinois Library System (RAILS) is also making their survey facility available to all CARLI members. The survey provides a single, central source of basic information about services for libraries that respond. We encourage all CARLI members to complete this survey. The view can be scoped to just I-Share libraries and RAILS is adding a CARLI scope as well. This site—like any site that CARLI could compile—is only as reliable, timely, and complete as the information provided.

We are grateful to RAILS for making available their survey facility to all CARLI members.

Looking Back to Move Forward: Reflecting on a Challenging Year in Collection Management

The CARLI Collection Management Committee (CMC) invites all interested to its April 14 chat that concludes its series of informal collection chats for this semester.

The committee is hosting chats this academic year to engage people working in collection management in informal networking and sharing on a variety of topics of interest in these difficult times. The April 14 chat session is scheduled from 3:00-4:00 p.m., however, the CMC does not want to cut off a robust discussion, so the sessions may be extended up to 30 minutes. The April chat will begin with a discussion on reference collections and how they have changed and the resulting change in reference work for reference librarians.

To register visit the CARLI Calendar.

Incoming Library Collections: A Unified Approach to Newly Acquired Material

New collections come from a variety of sources. Whether a gift, donation, or acquisition, all incoming materials present challenges to libraries. Collections are often varied and are rarely comprised of one type of material. Their history may not be entirely known to the donor. Curators may not be aware of physical or technology related issues within a collection. Library staff in different departments each have their own sets of questions regarding incoming material. This presentation will review how one institution unified its process for incoming collections. Special attention will be paid to preservation issues relating to incoming collections.

The CARLI Preservation Committee is sponsoring this hour-long webinar on April 20 at 10:00 a.m. Our presenter, Tonia Grafakos, is the Marie A. Quinlan Director of Preservation at Northwestern University Libraries. She is a Professional Associate member of the American Institute for Conservation and earned an MSIS with an Advanced Certificate in Conservation from the University of Texas at Austin. Prior to Northwestern she was the Harper Inglis Conservation Fellow at the Library of Congress and she gained additional conservation experience working at Harvard University, Harry Ransom Research Center, and the Pinos y Sarriera Archives.

Registration is required.  If you have any questions, please email

This webinar will not be recorded.

Seeking Proposals: 9th Annual CARLI Instruction Showcase

The CARLI Instruction Committee is seeking presentation proposals for the 9th annual Instruction Showcase, being held virtually on Friday, May 21.

CARLI members are welcome to submit proposals on all library instruction topics, and are encouraged to draw inspiration from the committee's theme this year, "Virtual Realities: The Challenges and Potential of Online Instruction".

Lesson plans related to this theme might include new approaches to teaching virtually, recommended tools or innovative techniques for engaging students online, or reimagined instruction for improved accessibility and inclusion.

Proposals should outline an instruction session activity that supports skills-based or conceptual learning and encourages active student participation.

Please include a full lesson plan with your proposal. All lesson plans must include the following elements: topic, learning objectives, materials, activity overview, assessment of student learning, and applicable knowledge practices and/or dispositions from the Framework for Information Literacy.

Please feel free to review the previous Showcase agendas and presentations.

Presenters will be given 15 minutes to present and five minutes for questions and answers.

If interested, please submit the proposal form no later than 5:00 pm on Monday, April 5.

Submissions will be reviewed by the CARLI Instruction Committee; notifications will be sent during the week of April 19.

If you have any questions about this program, please contact .

Striving for Excellence, Achieving Perfection: What Went Wrong?

Leaders and team members aim to attain goals, to meet objectives, and please all of their stakeholders and employees along the way. This webinar will focus on a key leadership distinction: excellence versus perfection, and how a leader or team member’s overall effectiveness is influenced by how aware they are of their own inclination (and that of their team members) toward each dimension. The discussion will cover:

  • What does it mean to be an "excellent leader or team member" versus a "perfect leader or team member"? What happens to a team member or leader, and the organization they support when their journey toward excellence diverges to a quest for perfection?
  • How metrics and key performance indicators can work for, and against a team member or leader's effectiveness. And, how might one shape these important measures to motivate toward excellence.
  • Coaching team members who may be seeing the pursuit of perfection as a surrogate for achieving excellence. How to help them view their own contributions through the lens of excellence, and to help them refocus their efforts and energy accordingly.

Presenter Garry Sanders is Principal, AssistLeadership, LLC and is an Executive Coach having earned a Certificate in Leadership Coaching from Georgetown University, and the designation of Professional Certified Coach by The International Coaching Federation. He is coaching leaders and team members at universities, businesses, and government agencies around the United States. He says that he "practices imperfection daily."

Registration is required for this event.

Oops! The Pandemic Made Me Do It Again: Escape Rooms, Digital Displays, and More

On Friday, April 23 from 11:00 a.m.–Noon , the CARLI Public Services Committee invites you to their ongoing informal discussion via Zoom about how public services have changed over the past year.

We’ll begin with two topics that had great interest during the committee's January discussion; Escape Rooms and Digital Displays, with presenters Leslie Starasta and Amy Chellino. An informal chat will follow so attendees may share successes and challenges from the past year.

Please register from the event listing on the CARLI Calendar. Registration is open through April 22, 2021.Connection details for Zoom will be shared with registrants the week of April 18. This event will not be recorded.

The Pandemic Made Me Do It: Changing Public Services (January 2021)

In January, the Public Services Committee hosted a lively discussion about how the pandemic impacted library public services and how CARLI members adapted their services at their local institutions.

Members of the committee shared findings from the discussion with the broader library community in the article “The Pandemic Made Me Do It: Changing Public Services", published March 12 in the Internet Reference Services Quarterly journal. The  article shares the changes in services and outreach that have come about due to the pandemic.

To date the discussion has considered the changes seen in video instruction as well as reserves, non-circulating materials and digitization and how many of the changes will be proven useful in the post-pandemic world to continue to more effectively serve online students.

Notes from this session are also available.

CARLI OER Updates

CARLI Virtual Course: Understanding and Promoting Open Educational Resources

CARLI is pleased to offer this 3-week synchronous and asynchronous course on open educational resources. Two options for attending this workshop are planned for late April and early May. This program will be offered multiple times throughout the year.

This virtual course includes material that was first shared with the CARLI membership during the Open Textbook Network Train-the-Trainer workshops in Spring 2018, and is designed to help the novice person learning about open educational resources to apply the information from this program to build their own local programs and workshops. The program is open to all CARLI members including those that attended the 2018 program.

The program is both synchronous (three live 90-minute Zoom sessions) and asynchronous (readings, videos, etc. to be completed before each live session). The live sessions will include presentations, but the aim of the program planners is that these sessions will incorporate a flipped classroom model to build community among participants as all share and discuss the topics.

The content of each option is the same; those interested will register for either Option 1 or Option 2.

Registration is available until April 22 or until the courses are full. Course materials will be sent to registrants on April 22. Please contact if you have questions.

OER Informal Discussion

Please join the CARLI OER Committee on April 22 at 10:00 a.m. for an informal discussion on OER and specifically the challenges you encountered as you developed a local affordable initiative. Those working on local OER and affordable programs are encouraged to share how they continued their program after having met with challenges or setbacks. Participants can ask questions and receive feedback about OER activities from both members of the CARLI OER Committee and their fellow CARLI colleagues.

Registration is required. If you have any questions, please email CARLI support at support@carli.illinois.edu.

Free OER Continuing Education Opportunities

If you are interested in learning more about OER, here are a few suggestions for continuing education opportunities.

Alma Primo VE Update

Working in consultation with the CARLI Resource Sharing Committee, CARLI has defined the dates by which I-Share libraries will need to enable overdue notices and lost processes in Alma. Specifically, all I-Share institutions must enable overdue notices in Alma on or before May 1, 2021 for both local and I-Share patrons. Starting on or after May 1, each I-Share institution may enable their lost material process along with any optional automatic blocks for overdue items in Alma for their local patrons only. I-Share libraries must have overdue notices enabled for at least 3 weeks in advance of enabling lost processes so that borrowers can have a chance to return materials before blocks and billings are started. By July 1, all I-Share institutions must enable the lost processes in Alma for their local patrons and lost processes and automatic blocks for I-Share patrons.  CARLI staff have been having calls with each I-Share library to discuss these changes in light of each institution’s policies.

The April Alma and Primo VE monthly release will be installed on Sunday, April 4, 2021. The April release is a maintenance release only, there will be no functionality changes to Alma or Primo VE this month. Ex Libris typically does a couple of maintenance releases each year where they focus on their server environment and do not install changes to software functionality.

We continue to encourage those that are interested to attend our ongoing webinars, Open Office hours, and the trainings provided by Ex Libris, including their ongoing series on becoming a Primo VE Expert.  Please refer to the CARLI calendar to learn about these opportunities. Most events are recorded and made available for later viewing.

Finally this month, a reminder that Ex Libris expects every institution to have at least one staff member who has passed their certification tests for Alma and Primo VE.  This training provides the skills needed to manage your Alma and Primo VE configuration settings. We talked about this several times during the migration, but it is worth mentioning again as libraries experience staff turn over. Please see the Ex Libris Knowledge Center for links to Alma and Primo VE certification classes and information about how to take these tests online.

Preservation Tip: Preservation Snapshot at Northern Illinois University

Mary Burns, Special Collections Catalog Librarian, Northern Illinois University

For 2020–2021, the CARLI Preservation Committee is gathering snapshots from the diverse range of perspectives of CARLI member institutions to explore various responses to the pandemic. With specific institutional action, impacts on preservation practices, and keeping up with developing information, we hope that these snapshots will provide the broadest range of responses to shed some light on how our work can continue as well as to provide a record of how libraries responded during this unprecedented time.

This month, Leanne VandeCreek, Associate Dean for Public Services (and Acting Associate Dean for Collections Management until September 1, 2020), Sarah McHone-Chase, Head of User Services and Faculty Librarian, and Susan Kapost, Head of the Technical Services Preservation Section at Northern Illinois University share their experiences at their institution since March 2020.
