Let's Talk About Fulfillment (I Mean Alma, Not Life's Purpose)

If you would like to talk with CARLI staff and your CARLI library colleagues about Alma Fulfillment and Automated Fulfillment Network workflows and known issues, join us every other week, alternating between Tuesdays at 10:30 a.m. and Fridays at 2:00 p.m. for the spring sessions of "Let's Talk about Fulfillment (I Mean Alma, Not Life's Purpose)."

CARLI Office Staff will be online for each session to work with your questions and to facilitate the discussion. Attendees will be able to unmute their microphones and/or utilize the chat for participation. We will take turns sharing screens as appropriate.

Sessions will be recorded only for CARLI staff use; since Fulfillment involves patron data, the CARLI office will evaluate if it is fitting and valuable to post segments of the sessions for later review.

The next session will be held at 2 p.m. on Friday, June 4. Please visit the CARLI calendar to register for the sessions that you are able to attend.

Technical Services Work from Home Projects Web Page

During the past year the CARLI Technical Services Committee identified a widespread need and desire to collect ideas for work from home projects in an accessible clearinghouse style format that can provide CARLI constituents with potential projects and workflows for those that work in Technical Services areas. With the likelihood that some hybrid approach to work from home may continue for the foreseeable future, the Technical Services Work from Home Project Web Page is designed to help with project ideas. This page is loosely organized into groups that serve as suggestions for a variety of work areas, including weeding, bib maintenance, and ideas particular to Special Collections and Archives. If you have any ideas you would like to contribute for addition to the page please send them to .

CARLI Ebook Program

Thank You for Your Support!

CARLI is thrilled to announce that because of the generous financial support of our members as well as a grant from the Illinois Secretary of State/Illinois State Library, CARLI Governing Members will continue to have access to ebooks from Wiley and Oxford University Press.

Wiley Online Books

CARLI has completed an agreement for a second year of access for CARLI Governing Members that expands access to 23,000+ Wiley Online Books that includes all subjects as well as all years available within the Wiley Online Library. All titles have unlimited access for CARLI members through June 30, 2022 and may be used as course materials or for course reserves. Direct links may be embedded into course management systems; however, materials may not be used to fulfill interlibrary loan requests until after titles have been purchased for perpetual access after the end of the access period.

I-Share libraries will not need to do anything to add the MARC records for this content. CARLI will share MARC records for these titles in the Network Zone for access in Primo VE. For additional information about using the Wiley Online Library, access to usage statistics and the training hub, and for information about MARC records for non-I-Share libraries visit the CARLI Ebooks Program page.

Access to the Online Wiley Library is based on the campus IP ranges that member libraries have provided to CARLI. If you need to update this information, please contact . If your IP address is associated with your institution, you should already have access to these materials. Please see the program's website for information regarding other authentication options, such as EZProxy or OpenAthens.

Oxford University Press: Oxford Scholarship Online

CARLI has completed an agreement for a second year of access for CARLI Governing members to Oxford University Press ebooks on their Oxford Scholarship Online platform. As of July 1, 2021, CARLI members will have access to titles in nine subject areas: Biology, History, Law, Music, Political Science, Psychology, Religion, Social Work, and Sociology with publication dates of 2018– June 2022.

I-Share libraries will not need to do anything to add the MARC records for this content. CARLI will share MARC records for these titles in the Network Zone for access in Primo VE. For additional information about using Oxford Scholarship Online, access to usage statistics, and for information about MARC records for non-I-Share libraries visit the CARLI Ebook Program page.

Access to ebooks on the Oxford Scholarship Online platform is based on the campus IP ranges that member libraries have provided to CARLI. If you need to update this information, please contact . If your IP address is associated with your institution, you should already have access to these materials. Please see the program's website for information regarding other authentication options, such as EZProxy or OpenAthens.

University Press Scholarship Online

As of July 1, 2021, CARLI members will no longer have access to the content from the 18 Partner Presses on the University Press Scholarship Online platform. CARLI Governing Members will have access to titles purchased for perpetual access from the FY21 (July 1, 2020 – June 30, 2021) Ebook Program.

Purchasing Perpetual Access to Oxford University Press, 18 Partner Presses, and Wiley Ebooks

In June 2021, CARLI will share with each member a preliminary list of titles that will be purchased for perpetual access. Included with that information will be local institutional usage that may contain titles not identified for purchase by the consortium. Governing members may purchase titles for perpetual consortial access through CARLI (member pays CARLI/CARLI pays vendor) using CARLI negotiated rate and discounts. CARLI will include the cost of purchasing titles in its message to members. Members may pay CARLI for those titles they identify for purchase either prior to June 30 or after July 1. The latest date to request an invoice is September 1.

CARLI OER Course: Understanding and Promoting Open Educational Resources

CARLI is pleased to again offer the virtual course: Understanding and Promoting Open Educational Resources. This 3-week synchronous and asynchronous course on open educational resources is scheduled for both June and July this summer. CARLI will continue to offer this program at various times throughout the year.

June: Live Sessions on Thursdays, June 3, 10, and 17, 2:00 - 3:30 p.m. Registration closes on June 1. Space is limited. Course materials will be sent to registrants May 27.

July: Live Sessions on Wednesdays, July 14, 21, and 28, 9:30-11:00 a.m  Registration will be open soon and will close on July 7. Space is limited. Course materials will be sent to registrants on July 7.

The content of each option is the same; those interested should register for June OR July (not both).

Here's what a couple of our members had to say about the course: (used with permission)

  • "CARLI's 'Understanding and Promoting Open Educational Resources' course was amazing! It provided me with a wealth of knowledge on OER and gave me the foundation I needed to move forward with OER at my home institution."
  • "OER and creative commons licensing can be pretty tough to tackle, and CARLI's course provides a brisk working introduction tailored to those of us on the front lines."

The course has four objectives:

  • Develop and Build an OER Community among CARLI members
  • Gain Fluency with open educational resources and affordable initiatives
  • Gain a basic understanding of Creative Commons and how it relates to open resources
  • Understand the components necessary to create local OER/affordable workshops

Program evaluations indicate that participants have increased their familiarity with OER and affordable initiatives on average 70% from their pre-course knowledge of the topics, and course participants overwhelmingly thought the class was a good use of their time.

This virtual course is designed to help the novice person learning about open educational resources to apply the information from this program to build their own local programs and workshops. The program is open to all CARLI members.

The program is both synchronous (three live 90-minute Zoom sessions) and asynchronous (readings, videos, etc. to be completed before each live session). The live sessions will include presentations, but the aim of the program planners is that these sessions will incorporate a flipped classroom model to build community among participants as all share and discuss the topics.

Please contact if you have questions.

CARLI OER Office Hours: Focus - Fall Plans

Please join the CARLI OER Committee on June 23 at 1:00 p.m. for an informal discussion on members' OER and affordable initiative program plans for Fall 2021. Open Education Network Summit – Free!

The Open Education Network holds a Summit each summer for members to learn from each other and to build community among its members. With direction from the OEN, CARLI's consortial membership meant that attendance at the previous in-person Summit was reserved for those working on our statewide programs. However, this year, the free, online Summit is open to anyone interested in attending.

Register now for the online OEN Summit, being held throughout the week of June 14-18. Attendees register only for the sessions in which they are interested and will attend. Registration closes on June 7.

Please see the OEN Summit website for more details, including the program schedule and session descriptions. Please use this short form to register. On the registration form, where you are asked "Is your organization part of the Open Education Network (OEN)?". CARLI members should answer "YES" since All CARLI members are associated with the OEN through CARLI's membership.

Spread the word! You are encouraged to extend the invitation to anyone in the higher education community who may be interested in open education.

Alma Primo VE Update

As a reminder, Alma and Primo VE will be offline from 8 p.m. Saturday, May 29 through approximately 8 p.m. on Sunday, May 30, during Memorial Day weekend. This outage is a result of Ex Libris' plans to physically relocate the data center where ours (and many other customers') Alma and Primo are hosted. If your library is open for circulation during the scheduled downtime, you may wish to look into using Alma's offline circulation utility

During the outage, people attempting to connect to the systems will see a banner page from Ex Libris. For more information, please see Ex Libris' Data Center Migration FAQ, Ex Libris' Data Center Migration Recommendations page, and the Ex Libris' Status Page for the latest information during the outage.

Ex Libris held a webinar regarding the planned outage on April 26. You can view a recording of this webinar or the webinar slides for more information.

Like last year, the 2021 Ex Libris Users of North America (ELUNA) meeting was held online. If you have missed any of these free sessions, they are also available in recorded format on the ELUNA website. Register for the session(s) that interest you to have access to the recordings.

Typically, the ELUNA conference (when held in person) is preceded by a couple of days of training sessions presented by the Ex Libris staff. This year, these sessions, called "Knowledge Days" are again being presented online and with no registration fee! There will be several sessions held during the month of June. Also, building on the popularity of the I-Share library discussion sessions we held in conjunction with the recent Primo instruction sessions, CARLI staff will host an open discussion session after each Knowledge Days session. This is a great opportunity for getting some Ex Libris staff delivered training at no cost along with an opportunity to discuss the session content and help put it in context with your I-Share colleagues. And if your schedule doesn't permit, these sessions will be recorded for later viewing.

As we near the end of another fiscal year, you may be thinking about year-end work in Alma. This isn't work we do everyday, so most people can benefit from a review before starting to close out the year. CARLI has a variety of resources (from Ex Libris and our own) to assist you in your year-end work.

After doing a lot of workflow testing, CARLI has decided not to reinstate ILLINET library "direct borrowing" in Alma.  This service has been in place since the late 1980's and allowed non-I-Share Illinois libraries to use I-Share to place requests for I-Share materials. The service was suspended along with all I-Share resource sharing in March 2020 as libraries began to close in response to COVID.  In short, we have not found an efficient and secure method for this process in Alma and Primo VE.

This service has had many drawbacks since its outset. Borrowing libraries have had to keep offline records of the patron for whom the item is being requested, lending libraries have had to check items out before putting them in the delivery service leaving them with no current tracking data, and the workflows for these lending transactions did not follow the same steps as loans between I-Share libraries.

We have explored options for this service in Alma and we believe it is not practical to try to shoehorn this into the functionality that is called an Automated Fulfillment Network in Alma. Unlike Voyager and our earlier systems, Alma's discovery service, Primo VE requires both a username and password to gain access to functionality like requesting and renewing materials. Most libraries handle the password management by integrating Alma with their campus directory single sign-on services. There is no campus directory equivalent for ILLINET libraries and CARLI is not currently able to support the overhead of setting up and managing such a service.

We have informed RAILS and IHLS of this change and are informing individual libraries as they contact us. We encourage them to look into other options such as OCLC's interlibrary loan options. We are also working to identify materials that are still checked out to ILLINET libraries and help I-Share libraries in getting those items returned.
